Hold Your Horses Right There!Wait! Don’t Be In A Hurry!! Take Your Time!!! Get Those Facts First And Then Decide Which Time & Attendance System Is The Right One For You Do you know that the life cycle of a computer system is around 5 years? Don’t be stuck with wrong product for 5 years! Think for a moment, 5 years is a long time, don’t make a hasty decision that you will regret later. You must ask the right questions NOW, before sending your Purchase Order to the lowest cost vendor, even if that vendor is Softools Middle East! Call up the suppliers and ask them all the critical questions BEFORE purchasing. Based on the feedback, buy the one, which is right for you. Time & Attendance System Is An Asset Purchase Not An Expense. The Difference Spread Over 60 Months Is Peanuts, So Buy The One That Is Right For You And Not The Cheapest Or The Costliest Why not pick the phone and call that vendor now. Your conversation may go somewhat like this: You: Okay, so your program calculates total time worked based on In-Out and also calculates overtime automatically? Vendor: Yes. You: But we round off extra time worked to nearest half hour in Head Office. Can your system do it? Vendor: No, our system gives extra time in hours and minutes like 2 hours 18 minutes You: No, no we want it to be shown as 2.5 hours OT! Vendor: Well, we can request our manufacturer to modify… You: Great, but in our company we give overtime only if the overtime calculated is at least 2 hours. I mean anything less than 2 hours of OT is to be ignored. Vendor: Sorry, we can’t do that. You: One more point, in our factory we do not round off to half hour, we truncate to full hour. Vendor: What do you mean by this… You: Let me explain by example. In HO 1 hour 46 minutes is rounded off to 2 hours (because we round off to nearest ½ hour in HO), but in factory it will be considered as just 1 hour because there we truncate to full hour, meaning any fraction of an hour is removed. Vendor: Oh, I see. No sorry, our system only rounds off to half hour. See, in China… You: By the way, not all employees get OT. Vendor: Not all? But in our… You: Yes, of course. Like managers, officers, and accounts department employees – they are not entitled for OT. So even if they are staying back, system should not calculate OT for them Vendor: Well, in our system – I don’t know, let me check with our partners. You: Please tell me how can we deduct half hour lunchtime from attendance? Vendor: Ask them to punch Out and punch In when they come back. You: We don’t want that because we have 150 employees and lunchtime is from 11.30 am to 12.00 noon sharp. So suddenly all employees will be at the terminal. Can your system automatically deduct half hour every day without asking workers to punch IN/OUT? Vendor: I don’t think so, but I will check. You: But in HO we have only 40 employees and lunch break is for 3 hours from 1.00 to 4.00 pm. There we would like employees to punch Out and Punch In. Is it possible to have separate lunchtime rules for the two places? Vendor: I will check. You: We also want a report showing those who are returning late after lunch. Does your system have a latecomer report? Vendor: Yes You: Good, so the factory workers will punch only two times but HO employees will punch 4 times in a day. I hope your system will be able to give latecomer and early leaver report. Vendor: Well, I am not sure because for factory worker second punch is the last punch of the day, but for HO it is Out-For-Lunch, so it is confusing. I will let you know. You: One more thing, in factory they work full six days, but in head office we have five day week. Can it handle six day and five day week at the same time? Vendor: I will check. You: Before I forget, in factory, the workers have the weekly off on different days. Vendor: No problem. You: Good. Actually we have a method of rotation in the factory. Some workers come in 6.00 am to 2.30 pm shift, other come in 2.00 pm to 10.30 pm shift. They change every week. So can we change their shift automatically so that Timekeeper does not have to change their shift manually very week and also the ‘latecomer report’ is correct? Vendor: I will check. You: Since HO employees have 5 day week, they work 9 hours per day as compared to 8 hours per day in factory. Vendor: Ok, so? You: So we want HO employees to get OT only if they work more than 9 hours not 8 as in factory. Can your system have different normal hours for different employees? Vendor: Sorry, no. You: Oh, but this a must. We need this feature. Vendor: I will ask our supplier to look into this. You: Ok. What if attendance is short? Vendor: Meaning? You: I mean if instead of full 8 hours, system calculates only 7 hours of attendance because employee came late or went early. How does your system handle short attendance? Vendor: Well, if it is short, it is short. What can be done about it? You: In some cases if it is short, we want to leave it short so that salary is also deducted. But in many cases we want the timekeeper to adjust so that the employee gets full attendance. And we want that timekeeper adjustment to be highlighted for control purposes. Vendor: Sorry, we don’t have any such feature. You: We need it. In fact in some cases we want system to automatically give full attendance to employees who have short attendance based on their In-Out timing. Vendor: Why? You: Because, for some employees like GM, other managers, marketing people, etc, their job requires them to leave office. If we manually adjust every day for such employees, timekeeper’s work will increase unnecessarily. Vendor: Yes, I see. I can understand now, but sorry, we don’t have this feature. You: This reminds me of a related issue. What happens if an employee forgets to punch OUT (or IN, for that matter)? Can we manually create an attendance record? Vendor: Yes, as you may be aware in most cases data from the attendance reader is transferred to a text file. Before this data is actually posted into our system, the user edits that file to add a record or delete any extra record. You: Are you saying that before posting the data into system, user actually edits the raw attendance data as part of your system design? Vendor: yes You: So he can edit his own or his friend’s data? Vendor: Well… You: We want a secure method of adding a missing record manually. Also we should be able to see in time-card report which record was made manually. You: And it goes without saying that the user must not be allowed to change date or time of a record that was created at the reader. Otherwise how can we trust the system? Vendor: I agree but… You: And why in your system the user has to delete records from raw data file which you mentioned just now? Vendor: Oh, that is because many people have the habit of marking their attendance two-three times. So the user deletes duplicate records. You: Can’t your system automatically ignore duplicates, like if same person uses attendance reader within, say 10 minutes? Vendor: No You: Well, I don’t like the idea of timekeeper playing with the raw attendance data file before it is posted into the system…and what happens if an employee does not punch even once. Vendor: He is shown as absent. You: But he may not be absent. He may be on business trip, or may have proceeded on leave. We want such employees not to be shown as absent. Vendor: I will check. You: If a person is on leave, we should also be able to mark whether it is paid leave or LWP. Vendor: I will check. You: And when employee comes back from leave, the first time he marks attendance, system should automatically mark his back from leave date. You: Also, we want a list of employees who have not come back from leave although the due date is over. You: Plus, I need a list of employees who are currently on leave. You: It will also be nice to have a list of employees who came back late from leave – or even earlier than planned. You: We also have “Half Day Leave” in our company, can your system provide that. Vendor: I will check. You: By the way, how does a person get attendance on his weekly off or national holiday without marking attendance on reader? Vendor: Our system gives automatically. You: Good, and what happens to weekly offs that fall between leave days? Those days should be counted as leave, not weekly offs. Vendor: I will check. You: Another thing, during office hours, some employees like marketing, PRO etc go out. We want to record that too. It should not affect their attendance. Can your system monitor such ‘non-attendance’ in-out activities? Vendor: Yes, using function keys. We have 4 function keys. Two can be used for normal in-out and other two can be used for ‘non-attendance’ in-out. You: What if we have more, say 15 reasons of such ‘non-attendance’ events? Vendor: I am afraid we can’t handle that. You: Suppose we wish to extend Time & Attendance system for job costing also? Vendor: How? You: Well, in factory, workers move from one job to another job. And we want to know worker time and approximate cost on each job. Can your system provide job-costing also? Vendor: No. Our reader does not have any facility to record Job number. You: But if we buy another reader which has this capability, can your software work with it? Vendor: No. Firstly our software works only with this hardware (reader), secondly our software also does not have any job-costing feature. You: I see…anyway, let’s come back to main attendance. At end of month, we want a report that gives total days worked, total off/holidays, total sick leave days, total leave days, total absence, total LWP days, Overtime hours. Can your system give that? Vendor: We have a similar report, but some information may not be there. Let me check. You: OK. Since the factory is about 10 km away from HO, we want to use Citrix server and provide factory user access to system. Can your system work with Citrix® server? Vendor: I will check. You: While checking with your supplier, please ask them if we can provide different levels of access to different users and also data scope. Vendor: What do you mean? You: I mean factory user should be able to see data of factory employees only. And HO user should see only HO employees. But the over-all supervisor should be able to see data of the whole company. You: Also, some users should be able to just see reports. Add/Delete/Modify should be restricted to only those who need this facility. Can your system do this. Vendor: Ours is not multi-user system, so the answer is ‘no, it cannot do’. You: I see; tell me can your system send absentee, latecomer, incomplete attendance type of information by email. You see, we want the cost-centre in-charge to receive some basic attendance related information by email so that even if he is out of country, he is aware of what is happening in the office. Vendor: We don’t have it now but can request our supplier. You: Okay, thank you. I understand now that though all vendors call their product a “Time & Attendance System”, they are not same. In fact some are just access control reports, giving IN-OUT information in fancy format and should not even be called a “Time & Attendance System”! I will now make a list of features that MY COMPANY needs and then compare your solution with other products.
